Requirements and Procedures

Mountain riding can present many different riding conditions. This is not a holiday for novice riders or a venue to learn how to properly operate a motorcycle!

It is important that guests considering one of our motorcycle holidays are in reasonable physical condition and are accustomed to spending several hours in the seat of a motorcycle. We take the safety of our guests very seriously!

Be prepared for temperatures between 10 and 35 degrees Celsius. We recommend that both riders and passengers bring good warm clothing and rain gear. Rocky Mountain Motorcycle Holidays has some riding equipment available, let us know in advance and we will make the necessary arrangements. If you have any questions or concerns, just ask!

Our motorcycles are fully insured including $5 million 3rd party liability coverage. A $3,000.00 maximum deductible will apply depending on the model. This exludes medical and personal accident insurance.

Due to the nature of the sport of motorcycling, Rocky Mountain Motorcycle Holidays takes the following requirements very seriously:

  • All riders must have a valid motorcycle drivers license.
  • International drivers license recommended for those not printed in English or French.
  • International customers may require both international and their national license for motorcycles.
  • A minimum of two years & 10,000km riding experience is highly recommended.
  • Both riders and passengers must wear a DOT, ECE or Snell approved helmet and protective eyewear at all times on the motorcycle.
  • Riding gloves and proper footwear are required.
  • All riders must be at least 21 years old.
  • The use of drugs and/or alcohol is strictly forbidden while riding.
  • RMMH reserves the right to refuse rental to a customer who does not have in their possession these requirements.
  • All riders must be comfortable riding in a variety of weather and road conditions including rain, twisty mountain roads, switch backs and the possibility of gravel or debris on the pavement.
  • All riders must be comfortable operating a large displacement modern motorcycle.
  • Riders with passengers must have prior experience riding in the above mentioned conditions with a passenger aboard.
  • All riders must consistently ride within their own skill and comfort levels.
  • The customer must posses the basic required skills to operate the motorcycle.
  • RMMH reserves the right to refuse rental to a customer who does not have or appear to posses the adequate skill for any given motorcycle.

Booking

With your signature on the booking form you accept these Terms and Conditions as a binding contract between RMMH and you, the participant. RMMH cannot accept any tour participant without a duly signed booking form. Please read the Terms and Conditions carefully. A reservation is made in your name once we receive a completed Guest Registration Form and the appropriate deposit.

Payment in full is required 60 days before the start of the Holiday. Every participant of a tour operated by RMMH is required to accept and sign a release and waiver form of rights before tour start. RMMH cannot accept any tour participant without a duly signed release and waiver form. A copy of the release and waiver form can be provided by ahead of time upon request. All guests will have to sign a Liability Waiver before taking the holiday.

For the tour a booking deposit of $500 or $1000 CAD is required at the time of booking (depending on the length of the tour). This deposit secures a place on the tour. The balance is due 60 days before the tour starts. If the total balance is not received 60 days before tour start, RMMH reserves the right to treat this reservation as cancelled and charge the cancellation fee.

RMMH motorcycles are provided as part of the tour package. The type and make vary to fit the type of riding on each tour. The majority of the rental motorcycles are BMWs and Triumphs. The pictures of the motorcycles in this catalog do not always represent the exact version of the motorcycles provided. Most of them have luggage cases, some have backrests. Please ask our agent if you need more detailed information. RMMH reserves the right to substitute the motorcycle confirmed to tour participants. RMMH strives to ensure that all participants ride the motorcycle they are confirmed on and is very proud of their record of doing so. Unfortunately, at times, certain unexpected and uncontrollable situations arise which may require the substitution of a motorcycle. This includes, but is not limited to, mechanical failure, collision damage and theft.

When customer brings own motorcycle for use on the tour, no motorcycle insurance is provided by RMMH.

RMMH is responsible for providing the services listed in the tour description according to the local standard and the accurate description of services offered in its literature. RMMH carefully selects and constantly checks its contractors, such as hotels and restaurants. RMMH is responsible for conscientious travel preparations. RMMH is not responsible or liable for any accidents. RMMH reserves the right without prior notice to withdraw any part or all of a tour, to make such changes as may be necessary, and the extra cost, if applicable, resulting therefrom, shall be paid by the customer. Furthermore, it is agreed and understood that the owners, operators and agents of this tour including RMMH are not the guardians of any customer's safety and they, individually or collectively, cannot be held liable in any way for any occurrence in connection with the operation or the client's participation in connection with the tour, which might result in injury, death or other damage to the client, his property, or his family, heirs, or assigns. RMMH is not responsible or liable for a delay occuring from the manufacturer's failure to deliver the motor cycle on time. The liability of RMMH as the tour operator is limited to a total of three times the tour price irrespective of the title/claim. RMMH is not responsible for any delays, changes in schedule or other conditions.

Motorcycle Rental for Self-Guided Tours

All rentals come with a 300km per day limit - $0.25 for each additional kilometer. Insurance is included in the rates above. A tax of 5% GST and 7% PST will be added to all rental charges. All guests who book a self-guided tour or rental with RMMH are required to sign a rental agreement and waiver of liability form with a $2000 - $3000 CND security/damage deposit depending on the model of motorcycle. A credit card or cash deposit is mandatory to rent a bike from RMMH.

A $500 deposit is required by credit card at the time of booking to secure the rental 30 days in advance. This deposit secures an available motorcycle for the period of time agreed upon by both RMMH and the renter. An additional $1500 - $2500 (depending on the model of motorcycle) is due by credit card at the time of pick-up to account for the remainder of the security deposit. If a reservation is made under 30 days in advance, the entire balance of the security deposit will be charged at the time of booking. The rental fee will charged to the customer and is due upon the safe return of the motorcycle. At which time the security deposit will be refunded after an inspection of the motorcycle for damage has been completed and both parties are satisfied. Single day reservations are pre-paid in advance for the full amount.

Cancellations & Refunds

All cancellations must be followed up in writing either by e-mail, fax or letter mail at (JavaScript must be enabled to view this email address). Cancellations received more than 60 days prior to the date of tour start will be subject to a $250 CAD per person cancellation fee. Cancellations received less than 60 days prior to departure will be subject to the following forfeit of tour cost; 59-42 days, $500 CAD per person; 41-31 days, 30% of the tour cost; within 30 days, 100% of the tour cost. No exception to this policy can be made for any reason. Trip cancellation insurance is strongly recommended.

Tour Cancellation

In this case, the customers will be notified forthwith. RMMH will offer to operate the tour if all customers agree to a supplemental charge due to the low number of tour members. If customers do not accept to pay the supplement, RMMH will refund their payment in full, which will constitute the full settlement. RMMH is not liable for any additional costs or losses incurred by the tour participant due to RMMH's cancellation of tour due to lack of participants. This includes, but is not limited to, the cost of pre-paid airline tickets, hotel reservations and automobile rentals. Situations may arise which, in our opinion, make it necessary for us to cancel, advance or postpone a scheduled tour, change itineraries or make substitutions regarding hotels, cities, tour guides and other travel arrangements. In that event, we do not assume responsibility or liability for any resulting losses, expenses or inconvenience. RMMH is not required to make refunds once tour commences, regardless of the reason for participant's being unable to complete his or her tour.

Miscellaneous

Fares quoted in any RMMH marketing or promotional material are those in effect at time of printing. If cost factors, including but not limited to hotels, meals, motorcycles, insurance, international currency fluctuations etc., dictate the need for fare increases, RMMH may do so at any time prior to 60 days before departure. RMMH discounts only apply to direct bookings, not those done through an agent or RMMH representative. Discounts offered by RMMH cannot be combined with other existing discounts.

RMMH reserves the right to correct printing errors or calculation mistakes at any time.

RMMH recommends that guests take out adequate travel, health and accident insurance as well as trip cancellation insurance with our agents.

Photos and videos produced by RMMH or its representatives on tour are the property of RMMH. The copyrights rest with RMMH. RMMH can use all such material for advertising and marketing purposes, including images in which individual tour members can be recognized, without any charge from the tour member arising for RMMH for this use of material. Guests who submit photos to RMMH either by e-mail, mail or uploaded directly to our photo gallery have automatically agreed to allow the use of such photos by RMMH for advertising and marketing purposes in doing so.

RMMH assumes no responsibility for loss, damage or delay in delivering baggage to tour participants. Baggage turned over to RMMH for transport each day is done so at participant's own risk. Baggage insurance is recommended.

RMMH reserves the right to alter a tour route for any reason. Some tours operate on a seasonal basis and where seasonal variances and/or weather conditions cause changes in the tour routing or accommodations, the itinerary will be adjusted accordingly and alternate hotels, restaurants and roads will be used.

RMMH strives to schedule its tours at a time of the year when the weather in the touring area is usually pleasant for motorcycling. Many tours pass through areas where weather conditions can change very fast and significantly. RMMH cannot be made liable for unpleasant or unsuitable weather conditions and no refunds are made for such conditions.
